• Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
• Billing status monitoring and reporting
• Participate in finance WIP billing meetings to make sure Client's invoices get processed and meet billing timelines.

Other billing requirements include,

• Support requirements for onboarding of new suppliers
• Ensure 100% billing completion within three months of activity end date
• Resolve/respond to client billing queries

Media Buying (Offline and/or Online)

• The day-to-day media buying for the agency
• Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
• Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
• Deliver added value opportunities across clients wherever possible
• Book all campaigns according to the brief (with confirmed media) and ensure financials are correct
• Monitor campaign delivery and reconcile any under deliveries
• Assist with auditing process across specific client base
• Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
• Constantly monitor performance and delivery of ad server and vendor reporting. 
• Monitor and report on clients’ expenditure update by campaign by media, if needed
• Keep track of clients’ media master contract fulfilments
• Prepare CI for all mediums and help Planners manage all material submission timelines
• Maintain co-ownership of WIP report with finance team, ensure that jobs are progressively reconciled and closed

Role Overview

We are seeking a meticulous and detail-oriented Payroll Specialist to join our People & Culture team. In this role, you’ll play a key part in managing and executing critical HR processes, with a focus on payroll accuracy and compliance. Additionally, you’ll collaborate with the People & Culture team, Finance, and other departments to address various employee inquiries, support HR operations, and ensure compliance with relevant laws and regulations. This position offers the opportunity to expand into broader HR functions, contributing to projects that drive employee engagement, process improvements, and organizational growth.

Key Responsibilities

• Prepare, process, and review payroll cycles, ensuring timely and accurate payment to all employees in compliance with company policies and statutory requirements.
• Maintain and update payroll data, including but not limited to employee changes, new hires, terminations, leaves, and benefits. Ensure payroll data accuracy and manage necessary adjustments.
• Support any payroll inquiries, addressing employee concerns professionally and providing clear, timely responses.
• Stay current with all payroll laws and regulations, ensuring company payroll practices meet legal requirements. Work with legal and finance teams to apply changes when necessary.
• Prepare payroll reports and analyses for internal and external stakeholders, including Finance and People & Culture departments.
• Identify and implement improvements to streamline payroll processes, reduce processing time, and enhance data accuracy.
• Coordinate with external payroll vendors and service providers to ensure efficient service delivery and issue resolution.
• Assist with payroll-related audits by preparing necessary documentation and providing required information in a timely manner.
• Engage in cross-functional HR projects and initiatives, exploring broader HR responsibilities such as employee relations, benefits administration, and employee engagement activities.

• Minimum 2 years of experience in payroll administration, preferably within a fast-paced, multi-national company.
• Strong understanding of payroll principles, tax regulations, and compliance standards.
• Excellent analytical skills with a keen eye for detail, strong numerical aptitude, and proficiency in payroll software (e.g. JustLogin, ADP, Workday).
• Strong interpersonal skills, capable of handling confidential information with integrity and maintaining a high level of discretion.
• A proactive approach to troubleshooting and resolving payroll-related issues, with a solution-oriented mindset.
• Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred.
